Starting a Photocopy and Printing Shop in Pakistan: What to Buy and What It Costs
Photocopy and print shops near universities, courts, schools and government offices are among our steadiest customers. The ones that make money have three things in common: a machine sized to their volume, a clear idea of what each page costs them, and a way to keep printing when the power goes. This guide covers the equipment side — the part we know best — for someone starting a new shop or upgrading an old copier.
Step 1: estimate your daily volume
Estimate how many pages you will copy and print on a busy day, then multiply by about 26 working days. A shop doing 500 pages a day prints 13,000 pages a month. Compare that with each machine's recommended monthly volume, not its duty cycle (the duty cycle is a maximum, not a target — see how many pages a laser printer can print).
Step 2: pick machines for that volume
| Daily volume | Machine | Why | Price (Sep 2026) |
|---|---|---|---|
| Up to ~300 pages | HP LaserJet Pro MFP M426dn | 38 ppm, 50-sheet ADF, duplex, 26X toner | PKR 67,000 |
| 300–1,000 pages, mostly printing | HP LaserJet Enterprise M608 + document scanner | 61 ppm print, 65 ppm scan, 37Y toner | PKR 85,000 together |
| 300–1,000 pages, lots of copying | HP Enterprise Flow MFP M527 | 43 ppm, single-pass duplex ADF, 89Y toner | PKR 65,000 |
| 1,000+ pages | HP Managed MFP E62555 / E62565 / E62665 | 55–65 ppm, 450,000-page duty cycle | PKR 115,000 |
| A3 copying | HP LaserJet M5035 MFP | A3 copy, print and scan | PKR 87,000 |
| Colour prints | HP Color LaserJet M653 or M254nw | Fast colour A4; M254nw for light colour | PKR 57,000–75,000 |
Two smaller machines are often better than one large one: if one is down for a roller or fuser, the shop keeps running. Our enterprise MFP comparison and photocopier vs laser MFP guide go deeper.
Step 3: work out your cost per page
Before you set prices, know what a page costs you. Our printer cost per page calculator does this for you, including profit per page at your copy rate. The formula is simple:
- Toner per page = cartridge (or refill) price ÷ rated yield. High-yield cartridges (37Y, 89Y, 26X) lower this sharply.
- Paper per page = ream price ÷ 500. For most shops paper costs more per page than toner.
- Wear allowance = a small amount per page for rollers, fuser and maintenance — high-volume machines need these every year or two.
- Add electricity, rent and your time, then set a price that covers all of it with margin.
Example only: if a ream of A4 costs you PKR 2,000, paper is PKR 4 a page before toner. Plug in your own supplier's prices — and see ways to cut printing costs and our paper guide for choosing between 70 and 80 gsm.
Step 4: plan for load-shedding
Laser printers draw hundreds of watts while printing and more during warm-up, because the fuser heats up quickly. HP advises against running LaserJets from a small computer UPS, and a small home UPS often cannot start one. Check the printer's rated power on its label or spec sheet and size a pure sine-wave UPS, inverter or solar system well above it, and use a surge-protected stabiliser in between. Clean, stable power also protects the formatter board and fuser — the two most expensive parts to replace.
Step 5: the services that earn more than copies
- CNIC and document copies — see how to copy a CNIC both sides on one page.
- Printing from WhatsApp, email and USB — a Wi-Fi Direct or network printer makes this faster.
- Legal-size printing for courts and stamp-paper work — see legal size printing.
- Thesis and assignment printing and binding — see thesis printing cost.
- Scanning to PDF and email, colour printing, lamination and online form filling.
Buying used machines for a shop
Most shops in the twin cities start with imported enterprise machines because a tested M608 or M527 costs a fraction of a new copier. Ask for the lifetime page count, a test print and copy of a full page, and a warranty. Our used printer price guide explains what a fair price looks like.

Frequently asked questions
Which machine is best for a photocopy shop in Pakistan?
It depends on volume. Under about 300 pages a day, a desktop MFP such as the HP M426dn; 300–1,000 pages a day, an HP M608 with a document scanner or an M527 Flow MFP; above 1,000 pages a day, an HP E62565-class managed MFP. Add an A3 machine such as the M5035 only if you need A3.
How do I calculate cost per page for a photocopy shop?
Divide the toner cartridge or refill price by its rated yield, add the paper cost per sheet (ream price ÷ 500), and add a small allowance for rollers, fuser and maintenance. Then add electricity, rent and your time when setting prices.
Is a laser MFP better than a photocopy machine for a shop?
For A4 work, often yes: a tested enterprise laser MFP costs less to buy, uses cheaper high-yield toner and is easier to repair locally. A traditional copier still makes sense for heavy A3 copying.
What UPS do I need for a laser printer?
A pure sine-wave UPS or inverter rated well above the printer's peak power draw — laser printers draw hundreds of watts while printing and more at warm-up, and HP advises against small computer UPS units for LaserJets. Check the rated power on the printer's label or spec sheet.
