How to Cut Your Office Printing Costs (Without Annoying Everyone)

Most offices in Pakistan don't know what printing costs them — toner is bought when it runs out, paper when the ream is empty, and nobody adds it up. When we help offices do the maths, the number is usually two to three times what they guessed, and cutting it 30–60% rarely requires anyone to print less. Here are the changes, ordered by effort.

1. Make duplex the default (free, instant)

Set two-sided printing as the default in the driver on every PC — people can still choose single-sided for forms that need it. Paper is roughly half of typical mono printing cost; duplex cuts the paper line nearly in half on reports, contracts and internal documents. This only works if your printers have automatic duplex — one reason the M402/M404 class is our standard office recommendation.

2. Default to mono, and to draft for internal copies

If you have colour machines, set mono as the driver default so colour is a choice, not an accident — a colour page costs several times a black one. Likewise EconoMode/draft for internal review copies: perfectly readable, meaningfully less toner.

3. Buy high-yield cartridges, always

The X/Y high-yield versions cost more per cartridge and much less per page: a 26X (~9,000 pages) or 89X (~10,000) can halve your per-page toner cost versus the standard cartridge. 4. Refill smart, not blind

Quality refills at a proper shop cost a fraction of genuine and are fine for internal documents; keep genuine or premium compatibles for client-facing output. Two rules: refill before the cartridge is bone-dry (protects the drum), and use one trusted refiller so quality is consistent — our workshop does refill-and-rechip with a test print.

5. One shared network laser beats five desk printers

Five personal printers means five cartridge types in the cupboard, five machines to service, and the most expensive small cartridges. One networked workhorse — an M507 or M608 — serves 10–25 people with enterprise cartridges that cost a fraction of a rupee per page. Keep one small printer only where confidentiality genuinely requires it (HR, accounts).

6. Right-size the machine to your volume

Running a home printer at office volume burns money (small cartridges, breakdowns); an oversized machine wastes capital. Count a normal week's pages, then use the tiers in best printer for a small business. Rule of thumb: your real monthly volume should sit well inside the manufacturer's recommended range — not near the duty-cycle maximum (specs explained).

7. Track page counts monthly (free, revealing)

Print each machine's configuration page on the 1st of the month and note the counter — here's how. Two minutes per printer gives you cost per department, shows which machine does the real work, and catches anomalies (one office we helped found a third of its pages came from one PC printing full web pages daily). What gets measured gets managed.

8. Standardise on one cartridge family

When all your printers share a cartridge (say, three M404s on 59X), you stock one spare instead of five, never overnight-buy at retail price, and swap toner between machines in a pinch. Worth considering whenever you replace machines — and a reason to buy printers as a fleet, not one-off bargains.

9. Maintain before it breaks

• A yearly service (rollers, clean, fuser check) costs little and prevents the mid-deadline breakdown that sends everyone to the print shop at retail rates.
• Store paper wrapped and dry — damp paper causes jams and reprints, which are pure waste.
