How to Scan Documents to PDF (Printer, Phone, Multi-Page)

Degrees for a job application, a signed contract, a tender document, the eternal CNIC copy — sooner or later everything needs to become a PDF. Done right, scanning takes seconds and produces a small, sharp, searchable file. Done wrong, it produces a 40 MB sideways photo that bounces from every email. Here's the right way, for every setup.

The three settings that matter (whatever you scan with)

• Resolution: 300 dpi for documents. It's sharp enough for print and OCR; 600 dpi just quadruples the file size. (See printer specs explained.)
• Colour mode: greyscale or black-and-white for text documents; colour only when the document actually has colour (stamps, photos, certificates).
• Format: PDF for documents — it keeps multiple pages in one file. JPG is for single photos, not paperwork.

From an HP MFP with the HP Smart app

• Install HP Smart (Windows, Android, iPhone; printer on the same Wi-Fi — setup guide here).
• Open Scan → choose flatbed or document feeder → set 300 dpi, PDF.
• Multi-page: after each page the app asks 'Add page' — keep adding, then Save/Share once. One PDF, many pages.
• Scans arrive on the device you scanned from — phone or PC — ready to email or upload.

From Windows or macOS without extra apps

Windows: the built-in Windows Scan app (or the full HP Smart from the Microsoft Store) sees any installed scanner; choose PDF and 300 dpi. macOS: open the printer in System Settings → Open Scanner, or use Image Capture / Preview → File → Import from Scanner; save as PDF, and use Preview to merge pages into one file if needed.

With an ADF: stacks and both sides

A document feeder turns a 30-page contract into one button press — drop the stack in, scan once, get one PDF. On MFPs like the HP LaserJet Pro MFP M227fdn the ADF is single-sided: for double-sided originals, scan odd pages, flip the stack, scan even pages, and let the software interleave (HP Smart and most scan tools offer this). No scanner? Your phone camera is one

• HP Smart's camera scan, Google Drive's Scan button (Android) and the iPhone Notes/Files scan mode all auto-crop, straighten and save to PDF.
• Lay the page flat in good light, shoot from directly above, avoid your own shadow.
• Use the app's black-and-white document filter — it removes the grey paper tint and makes text crisp.
• For multi-page: keep capturing in the same session so it becomes one PDF, not fifteen photos.

Searchable PDFs (OCR) and small files

• OCR makes the PDF's text selectable and searchable — turn it on where offered (HP Smart, ScanSnap software, Google Drive does it automatically). A searchable archive means finding any document by typing a name or number.
• A 300 dpi black-and-white A4 page should be roughly 50–150 KB. If your PDF is tens of MB, you scanned in colour at high dpi — rescan, don't compress.
• Name files properly at save time (2026-08-degree-transcript.pdf) — future you will be grateful.
